The National High Magnetic Field Laboratory (NHMFL) in Tallahassee, FL is seeking an Administrative Specialist to manage appointment transactions and recruitment processes. Candidate will be expected to advertise positions including external advertisements. Complete job offers, smart onboarding requirements, manual background requests and courtesy appointments. Send regret letters on completed recruitments as instructed by the FSU HR office on campus. Manage the I9 process for new employees and updates for current employees. Manage RAMP submissions and foreign influence screening on impacted new employees and serves as subject matter expert regarding immigration processes. Complete immigration paperwork for J-1 and H1B visas. Responsible for non-exempt FACET process reporting for NHMFL and reviews relevant reports related to appointment status and payroll certifications.

Qualifications

Bachelor’s degree and two years of experience; or a high school diploma or equivalent and six years of experience. (Note: a combination of post high school education and experience equal to eight years.)

Experience with processing personnel actions and maintaining accurate records.
Knowledge of position advertisements and completing requisitions to purchase external ads.
Experience processing immigration applications.
Computer skills to include experience with Microsoft Word, Excel, and Outlook or comparable software.
Knowledge of office practices and procedures, including operation of standard office equipment.
Ability to function independently, prioritize responsibilities, and make sound decisions.
Ability to communicate effectively verbally and in writing, establish effective working relationships and interact with groups.
Experience reviewing and analyzing detailed information.
Experience working with multiple projects simultaneously, meeting deadlines, and working independently.

The National High Magnetic Field Laboratory (NHMFL) MagLab is the world’s premier magnet laboratory with state-of-the-art high magnetic field facilities and has a history in development and application of ultra-high field NMR and MRI/S magnets and instrumentation. The NHMFL is an NSF-funded user facility that operates the world’s most powerful electromagnets at Florida State University, the University of Florida and Los Alamos National Lab, including 45 T DC and 35.2 T (1.5 GHz) NMR magnets, and DNP spectrometers currently operating up to 14.1 T / 600 MHz / 395 GHz. Present projects include development of a 40 T all-superconducting magnet. Our long-term plan includes development of 30 T NMR magnets, neutron scattering magnets, and resistive-superconducting hybrid magnets up to 60 T.
